How FindYourFit collects, uses and protects your personal data when you visit our website, book an event or join us on the day.
Who we are
This Privacy Policy explains how FindYourFit Pvt. Ltd. ("FindYourFit", "FYF", "we", "us") collects, uses, shares and protects personal data when you visit findyourfit.club, book or register for our events, contact us, or attend The Wellness Carnival, FindYourFit Sports, Pickleball & Padel Palooza, our International Day of Yoga event or any other FindYourFit experience.
For the purposes of the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 and the rules made under it, FindYourFit is the Data Fiduciary for the personal data described here. Our corporate office is at Emaar MGF Capital Tower, 707, Mehrauli-Gurgaon Rd, Sector 26, Gurugram, Haryana 122022, and our Jaipur office is at 5th Floor, 55-56, Shree Vihar Colony, JLN Marg, Durgapura, Jaipur, Rajasthan 302018.
Personal data we collect
We collect personal data in three ways: what you give us, what our payment and booking partners confirm to us, and limited technical data generated when you use the site.
Information you give us:
- Booking details: your full name, email address, mobile number, the event, ticket type and number of tickets, and any note you add to your booking.
- Sports registrations: your team name, teammates' names and contact details (where you register on their behalf), city, category and self-declared skill level.
- Messages: anything you send through our contact form, by email or on WhatsApp, including enquiries about hosting, coaching, brand partnerships or corporate programmes, and any CV or portfolio you share when applying to join the team.
- Event-day information: check-in status and, where you choose to share it, health or accessibility information that helps us keep you safe during a session.
Information from payment and booking partners: when you pay, Razorpay processes the transaction and confirms to us the order and payment reference, amount, status and the payment method type (for example, UPI or card). We do not receive or store your full card number, CVV, UPI PIN or net-banking credentials.
Technical information: like most websites, our hosting provider automatically records basic technical data such as your IP address, browser type, device type, pages requested and the date and time of each request. We use it to keep the site secure, fix errors and understand overall traffic.
How we use your data
We use personal data only for clear, specified purposes:
- To process your booking, take payment, send your confirmation and e-ticket, and manage entry at the venue.
- To run tournaments and leagues: drawing groups, scheduling fixtures, sharing results and contacting you about match times.
- To send service messages about an event you've booked, such as timings, venue changes, rescheduling, cancellations and refunds. These are not marketing and you'll receive them even if you've opted out of marketing.
- To reply to your questions and requests, including partnership and job enquiries.
- With your consent, to tell you about upcoming FindYourFit events, offers and community news by email, SMS or WhatsApp. You can opt out at any time.
- To keep our events, site and payments safe, prevent fraud and misuse, and comply with our legal, tax and accounting obligations.
- To improve our events and website, using aggregated or de-identified information wherever possible.
We process your data on the basis of the consent you give when you book, register or contact us, and for the legitimate uses permitted under applicable law, such as complying with legal obligations, responding to emergencies involving your health or safety, and performing the service you've asked for.
Photography and video at events
FindYourFit events are photographed and filmed by our team and appointed photographers. Images and footage may show attendees and may be used on our website, social media, press material and partner communications to show what our events are like.
Where we can, we mark photography-free zones or let you wear a no-photo band. If you'd prefer not to appear in our published material, tell our on-ground team at the event, or email us afterwards with the image or post and we will remove it from the channels we control within a reasonable time.
Who we share it with
We do not sell or rent your personal data. We share it only where needed, and only as much as is needed:
- Payment gateway: Razorpay, to process payments and refunds.
- Venues and co-hosts: names and ticket references for entry and check-in, for example with the venue or the co-host of an event such as DLF Malls for our International Day of Yoga event.
- Service providers who work on our behalf: website and booking hosting, email delivery, messaging (including WhatsApp, operated by Meta) and cloud storage. They may use the data only to provide their service to us.
- Brand and sponsor partners: only where you have clearly opted in to hear from a specific partner, for example by entering a partner contest. Otherwise partners receive only aggregated, non-identifying statistics.
- Authorities and advisers: where the law requires it, to respond to valid legal requests, to protect the rights, safety or property of attendees, FindYourFit or others, or to our auditors and legal advisers under confidentiality.
- A successor business: if FindYourFit is involved in a merger, acquisition or sale of assets, subject to this policy continuing to protect your data.
Some of our service providers may store or process data outside India. Where they do, we take reasonable steps to make sure your data stays protected, and we follow any restrictions on transfers notified under Indian law.
Cookies and similar technologies
This website does not use advertising cookies or cross-site tracking. Our booking and checkout pages, and Razorpay's payment window, may set cookies that are strictly necessary to keep your basket, complete your payment securely and prevent fraud. Your browser lets you block or delete cookies, but checkout may not work without the necessary ones.
If we introduce analytics or advertising cookies in future, we will update this policy and, where the law requires it, ask for your consent first.
How long we keep it
We keep personal data only for as long as we need it for the purpose it was collected for:
- Booking and payment records: for as long as tax, accounting and other laws require, typically up to 8 years.
- Marketing preferences: until you opt out or ask us to delete them.
- Enquiries and messages: for up to 2 years after our last conversation, unless they become part of an ongoing agreement.
- Job applications: for up to 12 months, so we can contact you about future roles, unless you ask us to delete them sooner.
- Server logs: for a short period, usually no longer than 90 days.
When data is no longer needed, we delete it or anonymise it so it can no longer identify you.
How we protect it
We use reasonable security practices and procedures to protect personal data, including encrypted connections (HTTPS) across the site and checkout, payments processed by a PCI-DSS compliant gateway, access to personal data limited to the team members who need it, and service providers bound to confidentiality. No system is completely secure, however. If we become aware of a personal data breach that affects you, we will inform you and the relevant authority as the law requires.
Your rights
Subject to applicable law, you have the right to:
- Access a summary of the personal data we hold about you and how we use it.
- Correct, complete or update inaccurate or incomplete data.
- Erase data that is no longer needed, unless we must keep it by law.
- Withdraw consent at any time, for example to marketing messages. This won't affect anything we did before you withdrew.
- Nominate another person to exercise these rights on your behalf in the event of your death or incapacity.
- Raise a grievance with us and, if you're not satisfied with our response, with the Data Protection Board of India.
To exercise any of these rights, email social@fyf-online.com with the subject "Privacy request". We may need to verify your identity first. We aim to respond within 30 days.
Children
Our website and bookings are meant for adults aged 18 and over. Where an event welcomes children, a parent or legal guardian must make the booking and provide any information about the child, and is responsible for them at the event. We do not knowingly collect personal data from children without verifiable parental consent, and we don't use children's data for tracking, behavioural monitoring or targeted advertising. If you believe a child has given us personal data, please contact us and we will delete it.
Third-party sites and services
Our site links to other websites and services, such as Instagram, LinkedIn, Facebook, WhatsApp, Google Maps, partner brands and press coverage. Their own privacy policies apply when you use them, and we're not responsible for how they handle your data.
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it last changed. If a change significantly affects how we use your data, we'll let you know by email or with a notice on the site before it takes effect.
